FEBRUARY, 2010 MAILING TO ALL OAK HILL RESIDENTS

  1. Vivian prints mailing labels for all residents on streets “OAK HILL STREETS.doc” Vivian to verify that EVERY street has labels, and cross off residences Vivian knows are not within OakHill.. Remove all Church Street, remove Four winds Drive (less than address 75); add red Hill (between Bamm Hollow & Deepdale, (PLUS Mrs. DeFelice); add Middletown Lincroft (West side, between Bamm Hollow & Crawford)
  2. Remove non-resident taxpayers (2 nd column of “taxpayer-lives-at-a-different-address.doc”)
  3. Add “current Resident” (1 st column of “taxpayer lives at a different address.doc”)- determine the missing street addresses by web sites: Middletown Tax, plus zillow.com
  4. Compare “2010adders-not-in-vivian-labels.xls”- print labels for those addresses not in Vivian's list;
  5. Compare “2009-Dec31-oha-membership-better-format.xls” to (1, 2, and 3). Missing 2009 members were identified, and added to “2010adders-not-in-vivian-labels.xls”
  6. Add labels for “newcomers” (listed in current newsletter) that are already not in Vivian's list
  7. “2010adders-not-in-vivian-labels.xls” becomes the new file for the FOLLOWING year to determine which addresses are not in Vivian's list that following year, and repeat the above process.

TOTAL Feb, 2010 newsletter distribution: 1047 (1039 mailed; plus volunteers who took home their own newsletter, plus 3 hand-delivered by Helen Duthie).

TOTAL membership return envelopes needed: 1047 (CAROL SEIP STUFFED & stamped OHA addresses on 1050 ENVELOPES – the envelopes contained a short survey: “survey-OHA-2010-membership-dues.doc” – printed 3/page, copied by Staples; then cut using the church paper cutter.

POSTAL SERVICE MAILING PROCESS:

ANNUAL PERMIT: 674, RedBank, NJ (must pay in advance for permit, and pay for expected cost of bulk mailing); OHA Newsletters are class D5 (“entry” DSCF, “price” AADC $0.213 for 1 st 3.3 ounces (newsletter actually weighed 0.8 ounce .) Completed form 3602EZ (see completed sample); postal bulk mail tel: 732-389-7082; located S. side Industrial Way”, Eatontown, ~0.5 mile W of route 35 (midway between Rte 35 and Hope Rd). Turn into “Truck” entrance on E side of building, near N end of building; park car at “BM** only” and walk up short pedestrian ramp; press “call button”, and wait for door to open. T he OHA account registration is now Oak Hill Association, 1 Vaughn Dr (Jack's address), Middletown, , stevemiller@comcast.net (my email). (The tel number remains incorrect)

Bulk Mail cost $221.31 for 1039 pieces. ~$100 is remaning in the OHA postal account, after this Feb, 2010 bulk mailing.

 

PAYMENT PROCESS:

Before mailing, I stopped at the Shrewsbury Post Office (next to "The Grove- West" on rte 35South), and paid expected mailing charges (OHA check to “Postmaster, Red Bank, NJ”) into the OHA postal account.  

  1. I noticed that one of the 2009 OHA members (Lori & Mike Sawyer) lives at 190 Red Hill Road. This was NOT in the street numbers on the official “Oak Hill Streets.doc” I added this family to the 2010 mailing, since the family was already a 2009 member, and the street number appears adjacent to already permitted “official” address on Red Hill Road.
