FEBRUARY, 2011 MAILING (single page, double sided) TO ALL OAK HILL RESIDENTS

The newsletter is Microsoft Producer, and exported as a PDF file (files all saved on HP Pavilion, under Desktop/Pat's Files/OHA . Pat Wotton took to Staples on a CD, and chose "hot pink: to coincide with Feb14 Valentine's day

TOTAL COST is ~$580: $224 postage; $180 bulk mail permit; $180? Staples printing cost

Vivian prints mailing labels (derived from tax records) for all residents on streets “OAK HILL STREETS.doc ” Vivian to verify that EVERY street has labels, and cross off residences Vivian knows are not within OakHill.. Remove all Church Street, remove Four winds Drive (less than address 75); add red Hill (between Bamm Hollow & Deepdale, (PLUS Mrs. DeFelice); add Middletown Lincroft (West side, between Bamm Hollow & Crawford)

  1. Remove non-resident taxpayers (2 nd column of “ taxpayer-lives-at-a-different-address.doc ”) (of limited value)
  2. Add “current Resident” (1 st column of “taxpayer lives at a different address.doc”)- determine the missing street addresses by web sites: Middletown Tax, plus zillow.com- this was of no value- NONE of the streets addresses were finally made into mailing labels.
  3. Compare “ 2010adders-not-in-vivian-labels.xls to Vivian's mailing labels; from this, created 2011-feb-adders-not-in-vivian-labels.xls ; (between 10-20 names were removed from the "2010adders"). Then printedprint labels from 2011-feb-adders-not-in-vivian-labels.xls for those addresses not in Vivian's list;
  4. THE FOLLOWING WAS NOT DONE: estimated time was at least 1 hour, and might produce a handful of new addresses: Compare “ 2010 final membership list ” to (1, 2, and 3). Identify missing 2010 members and add to “2011-feb-adders-not-in-vivian-labels.xls”
  5. Vivian brought a list of ALL 2010 closings in Oak Hill (regretfully, only property address was listed; the property owners were not listed.) Found that ALL addresses were already in Vivian's labels. NOTE: These 2010 new arrivals to Oak Hill are all “newcomers” (who should have been listed in periodic newsletters)
  6. “2011adders-not-in-vivian-labels.xls ” becomes the new file for the FOLLOWING year to determine which addresses are not in Vivian's list that following year, and repeat the above process.

TOTAL Feb, 2011 newsletter distribution: 1060 (1055 mailed). Volunteers took home newsletters).

TOTAL PRINTED 1070 COPIES (1060 + ?? ). STaples printed ~37 extra copies (total of ~47 copies)

POSTAL SERVICE MAILING PROCESS:

ANNUAL PERMIT: 674, RedBank, NJ (must pay in advance (in August) for permit, and then, prior to mailing, mujst pay for expected cost of bulk mailing); OHA Newsletters are class D5 (“entry” DSCF, “price” AADC $0.213 for 1 st 3.3 ounces .) Completed form 3602EZ (see completed sample of the form which was let at postal bulk mail tel: 732-389-7082; located S. side Industrial Way”, Eatontown, ~0.5 mile W of route 35 (midway between Rte 35 and Hope Rd). Turn into “Truck” entrance on E side of building, near N end of building; park car at “BM** only” and walk up short pedestrian ramp; press “BulkMail"l button, and wait for door to open. T he OHA account registration is now Oak Hill Association, 1 Vaughn Dr (Jack's address), Middletown, , stevemiller@comcast.net (my email). (The tel number remains incorrect; I put my cell number on the form)

Bulk Mail cost $224 for 1055 pieces. I deposited an OHA check for $150, which added to existing $101 from 2010 mailing. ~$26 remaning in the OHA postal account, after this Feb, 2011 bulk mailing.

PAYMENT PROCESS:

Before mailing, I stopped at the Shrewsbury Post Office (next to "The Grove- West" on rte 35South), and paid expected mailing charges (OHA check to “Postmaster, Red Bank, NJ”) into the OHA postal account. I could have stopped in Red Bank Post Office (Broad St, near Harding), parked on Broad Street.
