TECHNOLOGIES REQUIRED BY OHCA
1.DOCUMENT ARCHIVE
REQUIREMENTS:
- Up to several GB storage
- Each OHCA Board member can easily change/structure/ogranize OHCA docs
- The membership file, and ALL personal info (including email addresses) must be kept private, and secure from hackers.
2. EMAIL SYSTEM REQUIREMENTS:
- Reliable and easy/quick to enter and update member email addresses
- Preferably the initial (bulk) email entry and frequent subsequent updates would be an easy “view”, “lookup” or “sort” of the OHCA membership file
- ability to quickly email different groups of addresses. Addresses will total ~600 present and previous members; during a batch send, erroneous addresses are flagged and reported, but all other email addresses are sent without having to immediately first correct erroneous addresses.
- The email addresses are kept secure and confidential. The service provider must NOT use email addresses for any other purpose..
CANDIDATES:
- Windows Live Mail: disadvantage: resides on ONE PC. Very difficult to allow email access to anyone else.

3.OHCA ACCOUNTING SYSTEM REQUIREMENTS
Simplified, transferable method of keeping track of income and expenses
CANDIDATES:
- QUICKBOOKS AS A STANDARD? (Rebecca Iacobellis 1/12/2015 email)
- Non profit version would probably be best but I think it is too expensive for the size of the organization. Plus, they only have a cd version which means it could only be installed on one persons computer.
- QuickBooks online version for $19.99 a month and first month is free. I think this could be the best option as there can be multiple access and all information is stored on the cloud.
